Change Default Invoice Email Template

You can customize the email content sent with your invoices in two ways: by updating the default template (which applies to all future invoices) or by editing the email for a single invoice.

Option 1: Update the Default Email Template

This method changes the standard text used every time you email an invoice from the system.

Step 1: Access Invoice Settings

  1. Go to the Accounts and Payroll section (usually at the top-left corner).
  2. On the left menu, click Invoices.
  3. From the drop-down menu, select Invoice Settings.

Step 2: Edit the Email Template

  1. On the Invoice Templates page, look at the right-hand menu.
  2. Select the Email Templates option.
  3. You will now see the email template currently used for invoices. Edit the text as desired, adding any specific details or branding you need.
  4. Once finished, click Save at the bottom.

Your new default email template will now be used for all future invoices.


Option 2: Edit the Email for a Single Invoice

If you only need to change the email text for a specific invoice without changing the default template, use this method.

Step 1: Locate the Invoice

  1. Go to the Accounts and Payroll section.
  2. On the left menu, click Invoices.
  3. From the drop-down menu, select Overview.
  4. Click on the name of the invoice you want to send.

Step 2: Edit and Send the Email

  1. On the invoice details screen, look for the options on the right-hand menu.
  2. Select Email Invoice.
  3. The system will display the current default email template, but you are free to modify the text directly on this screen for this one-off email.
  4. Make your changes and proceed with sending the invoice.

This change will only apply to that specific email and will not alter your general default template.
